How to save Microsoft Teams messages as a credible record

If you are documenting a workplace dispute, an HR complaint or something said in a chat, a screenshot is easy to dismiss. Here is how to keep an honest, timestamped copy of the whole conversation that is harder to question: every message dated and in order, with a fingerprint that shows the file was not changed afterwards.

Step by step

  1. Install Chat Exporter for Teams. Add it to Chrome, Edge or Brave, open Teams on the web (teams.microsoft.com or teams.live.com) and sign in to the account that can see the conversation.
  2. Open the whole thread. Scroll up in the conversation so Teams loads the messages from before the part that matters, then click the extension and "Load my chats". Keeping the context around a message makes the record fairer and more convincing.
  3. Export the evidence PDF. Pick the chat and choose the evidence PDF (Pro). It dates every message, keeps them in order with the sender, and adds a SHA-256 integrity fingerprint of the file.
  4. Store it unchanged. Save the file somewhere safe, do not edit it, and note when and from which account you exported it. Keep a plain text or CSV copy too, which anyone can re-read.
Try it on a chat, free. The free version saves the latest 100 messages of each chat to Text and CSV. Pro is $27.90 once for the whole history, the evidence PDF and every format.

Why a screenshot is weak

A screenshot is a picture: it carries no reliable date, it is trivial to crop or edit, and it usually shows a few messages out of context. Cropping can change what a conversation appears to mean, and a cropped image invites the reply that something was left out. There is nothing in the file that lets anyone check it was not altered.

A full export avoids most of that. Every message keeps its sender and timestamp, the thread stays in order, and nothing is hidden by the edge of the screen.

What makes an export more credible

Three things help: completeness (the whole thread, not snippets), dates on every message so the sequence is clear, and a way to show the file was not changed after you saved it. The Pro evidence PDF from Chat Exporter for Teams does all three: it rebuilds the conversation with sender and date on each message and stamps the file with a SHA-256 integrity fingerprint.

A SHA-256 fingerprint is a short code computed from the exact contents of the file. Change a single character and the code changes completely, so anyone can recompute it later and confirm the PDF is the one you exported, unaltered.

Keep the whole conversation, not cropped snippets

Export the full chat or channel rather than hand-picked lines. It is more work to read, but a complete record is fairer to everyone and far more convincing than a selection that could look cherry-picked. If you need to point to specific messages, reference their dates within the full export instead of deleting the rest.

Important: this is not legal advice

This guide explains how to keep an accurate, unaltered copy of your own conversations. It is not legal advice. Check your employer's policy and your local laws before you export or use work conversations, and get proper advice for your situation. Whether an export is accepted as evidence depends entirely on the context and the people reviewing it.

Use this to keep an honest record, never to alter messages or to get around rules about what you may access or share. The extension only reads conversations you can already open yourself; it cannot reach anyone else's private chats.

Free version

The free version saves the latest 100 messages of a chat to Text and CSV, which is enough for a short exchange. The evidence PDF, the whole history and the pictures are part of Pro ($27.90 once).
