How to keep a record of a Microsoft Teams conversation

A lot of work decisions happen in a Teams chat and are never written down anywhere lasting. When you need to remember what was agreed, who asked for what and when, an export gives you a dated, searchable record you keep yourself. Here is how to make one.

Step by step

  1. Install Chat Exporter for Teams. Add it to Chrome, Edge or Brave, open Teams on the web (teams.microsoft.com or teams.live.com) and sign in.
  2. Load the chat or channel. Click the extension, then "Load my chats", and pick the one-to-one, group, meeting or channel conversation you want to document. Scroll up first for older messages.
  3. Export with dates. Save it as a PDF for a clean dated document, or CSV for one row per message with the sender, date and text, which you can sort and filter.
  4. Keep and search your records. Store your exports together. With the messages in CSV, a search in Excel or Google Sheets finds any decision, name or date across all the conversations you saved.
Try it on a chat, free. The free version saves the latest 100 messages of each chat to Text and CSV. Pro is $27.90 once for the whole history, the evidence PDF and every format.

Why keep a record at all

Chats scroll away and people remember the same conversation differently. A dated export of what was actually written settles "who said we would do that, and when" without anyone's memory being the only source. It is useful for handovers, for following up on agreements, and for keeping a clear history of a project.

What the export keeps

Every message with its sender and timestamp, in order, replies kept with the message they answer. The PDF reads like a document; the CSV gives you one row per message so you can sort by date, filter by person or count messages. Channel conversations export the same way as one-to-one and group chats.

Search across saved chats

Export the conversations you want to keep, then put the CSV files together in a spreadsheet. A keyword search then runs across all of them at once, so you can find a decision or an instruction months later without scrolling through Teams, assuming the message is even still there.

Keep it honest and within the rules

This is not legal advice. Work conversations may be covered by your employer's policy and by local laws, so check what you are allowed to export and keep before you do. Keep the export unaltered and use it as an accurate record, not as something edited to fit a point. Chat Exporter for Teams only reads conversations you can already open, and nothing leaves your computer.
