How to export a Microsoft Teams chat to PDF

Teams has no button to export a conversation, and printing the window gives you a broken page that cuts off messages and loses who said what. Here is the manual way, where it falls short, and how to get a clean, dated PDF of a whole chat in a couple of clicks.

Step by step

  1. Install Chat Exporter for Teams. Add it to Chrome, Edge or Brave, then open Teams on the web (teams.microsoft.com for work or school, teams.live.com for personal) and sign in.
  2. Load your chats. Click the extension icon, then "Load my chats". It reads the conversations you can already see, from the Teams tab you are signed in to.
  3. Pick the chat. Choose a one-to-one, group, meeting or channel chat. Scroll up in Teams first if you want the older messages included, so Teams loads them into the tab.
  4. Export to PDF. Choose PDF. With Pro, pick the evidence PDF for a dated copy with a SHA-256 fingerprint and the pictures embedded. The file is saved straight to your computer.
Try it on a chat, free. The free version saves the latest 100 messages of each chat to Text and CSV. Pro is $27.90 once for the whole history, the evidence PDF and every format.

Why Teams has no "export to PDF"

Microsoft Teams keeps messages on the server and shows them a screen at a time. There is no menu to export a conversation, and the admin-side eDiscovery export needs IT access, a case, and produces raw files, not a readable chat. For your own conversations, none of that is available to you.

Printing the page (Ctrl+P) seems like a shortcut, but Teams loads messages as you scroll, so the print only contains what happened to be on screen. The layout breaks, avatars and reactions overflow, long chats come out as a few unusable pages, and the dates are easy to lose.

The clean way: a formatted PDF of the whole chat

Chat Exporter for Teams reads the messages from the Teams tab you are signed in to and rebuilds the conversation into a proper document: sender, date and time on every message, replies kept with the message they answer, and pictures included with Pro. One-to-one, group, meeting and channel chats all export the same way.

Because it reads your own session, there is no admin request, no password to type and no data sent anywhere: the PDF is built in your browser and saved to your computer.

An evidence PDF you can stand behind

For HR cases, disputes or a personal record, the Pro evidence PDF dates every message and carries a SHA-256 integrity fingerprint, so you can show later that the file was not altered. It is a strong record, but not legal advice: whether a PDF is accepted depends on the context and the people asking for it.

Keep the original file unchanged and note where and when you exported it. If you need a second opinion, the same chat also exports to text or JSON, which are easy for anyone to re-read.

How far back it goes

The export covers the messages Teams has loaded into the tab. For a long history, scroll up in the conversation until the oldest messages you want appear, then run the export. The free version saves the latest 100 messages of each chat; Pro keeps the whole cached history.
